Summary

There are multiple opportunities which have arisen to work at the heart of the Department for Digital, Culture, Media and Sport in roles supporting ministers, special advisers and the wider Private Office senior team.

These positions will be both challenging and rewarding, working directly alongside Ministers, Special Advisers, wider Private Office, and stakeholders from within and outside the Department. The roles will be fast paced as you work to support the delivery of departmental priorities, while managing a busy diary and other competing interests or commitments. The successful candidates will work across a range of portfolios and have varied responsibilities, including working on delivering parliamentary business, managing a busy workload and diary commitments, and general administrative support for Private Offices.

We have Ministerial and Special Advisers’ Diary Secretary roles (with the potential for expansion of responsibilities within the private office), and an Office Manager role available.

Job description

The roles will provide a valuable and unique insight into how Ministers work and how policy decisions are made, as well as understanding how the Department and wider Government operates. There will also be the opportunity to take on parts of a policy brief, including leading on Parliamentary work or supporting on Ministerial visits.

We also expect additional posts to become available in the coming months and are keen to establish a pool of strong and ambitious candidates interested in Private Office roles.

The successful candidates will have a varied range of responsibilities depending on role, including:

  • Smooth and efficient running of Ministerial and Special Advisers’ diaries, handling all requests and invitations, working closely with other Ministerial and senior officials’
offices, including leading weekly diary meetings. You will need to understand the objectives of each meeting and prioritise against conflicting requirements.
  • Work closely with colleagues in the Secretary of State and Special Advisers’ offices to effectively communicate decisions and recommendations between Ministers and officials.
  • Ensure that engagement with key stakeholders, supports the broader engagement strategy of the Department.
  • Provide strategic advice and join up on the preparation of policy advice from across the Department, representing ministerial priorities, views and expectations.
  • Lead on some parliamentary business, including Oral Parliamentary Questions.
  • Ensure the office adheres to proprietary guidelines through managing Transparency returns and expenses.
  • Develop strong interpersonal relationships with all stakeholders, including officials within the Department, in other Government Departments, with external stakeholders and colleagues in Parliament.
  • Provide administrative support including inbox management, booking travel and accommodation and managing expenses.
  • Overseeing the provision of accurate and timely advice to Ministers and Special Advisers, following up where necessary.

  • Excellent organisational and prioritisation skills, with the ability to work effectively across a range of tasks and under pressure.
  • Excellent communication skills (written and verbal).
  • Strong interpersonal skills and the ability to interact confidently and professionally with stakeholders of varying seniority.
  • Experience of working effectively with a wide range of stakeholders; ability to work collaboratively to resolve difficult issues.
  • Good judgement to manage situations independently and understand when to escalate and how.
  • Strong work ethic and a proven team player, with ability to work under pressure.

Desirable Skills:

  • An understanding of current affairs and the working of Parliament
  • Keen interest in the work of the Department
