HR EXECUTIVE

THE TEAM/ROLE

The H+K London HR team consists of six dynamic and collaborative individuals each with a specialist skill-set including generalist HR; benefits; payroll and talent acquisition. The team works across the full spectrum of H+K’s business supporting over 300 staff in our London office and supporting 13 business sectors including Consumer Packaged Goods; Financial + Professional Services; Energy + Industrials; Technology; Entertainment, Healthcare and Sports.

PERSON SPECIFICATION

  • Strong generalist skill set ideally gained within the UK
  • Excellent communication & interpersonal skills - with the ability to build relationships quickly with people at all levels
  • Self-starter and task driven – ability to turn creative ideas into practical programmes
  • Well organised, ability to prioritise, strong attention to detail
  • Intermediate to Advanced use of IT packages including Microsoft Word, PowerPoint and Excel.
  • Experience of using a HR system (we use Talent Tree at H+K & our finance system is Maconomy)
  • Have a solid understanding of HR processes and how HR can add value to the wider business
RESPONSIBILITIES


Induction and Onboarding

  • Take ownership of the onboarding experience for all new joiners - including the buddy scheme
  • Conduct HR Inductions and continue to check in with new joiners and line managers to receive feedback
  • Conduct right to work checks and manage the visa tracker, supporting the HR Manager with visa sponsorship applications
  • Own the probationary procedure, liaising with line managers on feedback and issuing appropriate contractual documents, highlighting any concerns to the HR Manager
  • Continue to develop the HR Induction utilising new joiner feedback to suggest improvements and coach line managers on their responsibilities
  • Support the HR Executive Assistant with onboarding via the HR system

Leavers

  • Take ownership of the leaver process for all employees, liaising with payroll and benefits
  • Ensure starter/leaver tracker is updated as soon as HR is aware of dates
  • Conduct exit interviews and record data to input onto the HR system, conducting quarterly reports on statistical trends.

Employee Relations

  • Respond to ad-hoc queries, escalating concerns to line managers
  • Manage all maternity, paternity, parental leave requests
  • Managing low – medium risk ER cases
  • Support the HR Manager with any other employee relation issues

Reporting

  • Produce ad-hoc reports as requested by the Operational MD
  • Support and produce data for employee surveys and company accreditations
  • Ensure payroll have any the necessary amendments for each month according to deadlines
  • Produce weekly status update to the Operational MD
  • Work with Talent Acquisition to report on D+I statistics for quarterly reports

Benefits and Rewards

  • Support Pay and Performance review cycles

Projects and Ad-hoc

  • Support with the appraisal process, encouraging and supporting reviews according to deadlines
  • Proactively suggest improvements on any processes and documents for better ways of working
  • Support with all agency initiatives UK and globally
  • Produce and assist on flexible working agreements, issuing appropriate contractual paperwork
  • Highlight any ad-hoc changes to the HR Executive Assistant to amend on Talent Tree
  • Produce any ad hoc letters such as termination letters, unpaid leave, contractual amendments as and when required
  • Produce ad-hoc reports as requested by the Operational MD
  • Support and produce data for employee surveys and company accreditations
  • Ensure payroll have any the necessary amendments for each month according to deadlines
  • Produce weekly status update to the Operational MD
  • Work with Talent Acquisition to report on Diversity + Inclusion statistics for quarterly reports
